This is presented as a business and correspondence address, not as a statement that it is the company’s registered office or a public visitor address.
Information We Collect
Information you provide
When you request a quotation, we may collect:
- the product grade and application you are asking about;
- requested quantity and destination country;
- destination port or city, if supplied;
- company name, contact name and business email address;
- phone or WhatsApp number and company website, if supplied;
- additional requirements or other information you choose to include; and
- the page or context from which the inquiry was started.
When you submit a Request Documents form, we collect:
- Full Name;
- Company;
- Business Email;
- Country/Region;
- Product Grade;
- the selected Document Types;
- Application/Industry, if supplied; and
- Additional Requirements, if supplied.
Where applicable, we may also process the page or source context, a stable request token, site and workflow identifiers, and the minimum technical routing and security data needed to direct, protect and troubleshoot the submission.
We also collect information contained in later emails or other business correspondence relating to your inquiry or document request.
Please do not include sensitive personal data, confidential credentials, payment-card information or unrelated personal information in a free-text field. The current quotation and Request Documents forms do not request file uploads or special-category personal data.
If we later introduce a sample-request form with an active production receiver, this policy will be updated to describe its verified fields and purposes before that workflow is released.
Technical and usage information
When you use the website, hosting, delivery and security systems may process technical information needed to serve and protect the site, such as an IP address, date and time, requested URL, browser or device information, referrer and security or routing data.
If optional Analytics is activated and you accept it, the active measurement provider may process page and event information as described in our Cookie Policy. We do not describe a planned Analytics or advertising service as active until it has been implemented and verified.
How We Use Information
We use personal data to:
- receive, review and respond to product, quotation, document-request and other business inquiries;
- understand the product, application, quantity and destination relevant to a quotation or product inquiry;
- review the Product Grade, requested Document Types, optional Application/Industry and business context relevant to a document request;
- confirm the intended request scope, assess whether relevant documents may be available or provided, and conduct any necessary follow-up communication;
- communicate about an inquiry or document request and maintain related B2B correspondence;
- operate, deliver, secure and troubleshoot the website and form service;
- prevent spam, abuse, fraud and malicious activity;
- comply with applicable legal obligations and establish, exercise or defend legal claims; and
- measure aggregate website use when optional Analytics is active and the relevant choice permits it.
Submitting a document request does not confirm that a requested document exists, applies to a particular product or situation, or will be provided or sent.
Depending on the circumstances and the law that applies, processing may be necessary to respond to steps you request before a business arrangement, to pursue our legitimate interests in operating and securing a B2B website and responding to inquiries, to comply with legal obligations, or to act on your consent for an optional feature such as Analytics.
Submitting an inquiry is not consent to receive unrelated promotional marketing. We do not use the inquiry form to make decisions based solely on automated processing that produce legal or similarly significant effects about you.
Service Providers and International Processing
We use service providers to operate the website and deliver inquiries. They process information for the relevant service purpose and may operate infrastructure in more than one country.
Web3Forms
Quotation and document-request submissions are transmitted through Web3Forms, operated by Web3Creative. Web3Forms acts as a processor for form-submission data and sends each submission to the email recipient configured by IKHLAS for the relevant workflow.
For the current Request Documents workflow, the browser submits directly to the fixed Web3Forms endpoint under the Free plan. An access key routes the submission to the recipient configured by IKHLAS. The access key is a browser-available routing identifier for this workflow, not a mailbox password or private secret. We do not publish the access-key value or recipient email address in this Policy.
For service delivery, infrastructure, security and spam prevention, Web3Forms may use providers identified in its current service documentation, including AWS, Cloudflare, Hetzner, CleanTalk and Akismet, depending on how a submission is handled. Technical submission information may include an IP address, timestamp and referrer.
Because Web3Forms and its providers may process data outside Malaysia or the country where you are located, form submissions may involve international processing. We assess and manage these arrangements under applicable requirements and the provider’s contractual terms.
Other operational providers and recipients
Website hosting, security and email-delivery providers may process the limited information needed to provide their services. Within IKHLAS, access is limited to authorised personnel who need the information to handle the inquiry or perform relevant operational, legal or security work.
We may also disclose information where required by law, a lawful authority or legal process, or where reasonably necessary to protect rights, safety and the integrity of our services. We do not sell personal data submitted through the inquiry form.
How Long We Keep Information
IKHLAS normally keeps inquiry information and related correspondence for up to three years from the last substantive interaction or closure of the inquiry.
We may keep a limited record for longer where reasonably necessary to comply with a legal obligation, address fraud or security issues, resolve a dispute, or establish, exercise or defend a legal claim. When information is no longer required for an applicable purpose, it is deleted or otherwise disposed of in accordance with our retention controls.
Web3Forms’ Free plan currently shows form-submission history in its dashboard for 30 days. That visibility period is not the same as physical deletion. Web3Forms states that submission data may have a physical retention period of up to three years under its current retention terms.
Technical logs and consent-preference records follow the retention periods of the verified systems used at release. The Cookie Policy identifies the current browser-storage duration where applicable.
Your Rights and Choices
Your rights depend on where you are located and which law applies. Subject to applicable conditions and exceptions, you may ask us to:
- confirm whether we process personal data about you and provide access to it;
- correct inaccurate or incomplete personal data;
- withdraw consent for processing that relies on consent;
- object to or ask us to stop certain processing, including direct marketing;
- delete personal data or restrict how it is used;
- provide eligible personal data in a portable format; or
- explain how we have handled a privacy request.
You can change an available Analytics choice at any time through Cookie Settings. Withdrawing consent does not affect processing that was lawful before withdrawal.
To make a request, email info@tio2malaysia.com and describe what you would like us to do. We may ask for information reasonably necessary to verify your identity and locate the relevant record. A request may be limited or refused where applicable law permits or requires it, including where information must be retained for a legal obligation or claim or where fulfilling the request would adversely affect the rights of another person. We will explain our response where required.
Where applicable, you may also complain to the personal-data or privacy supervisory authority in your country, including Malaysia’s Personal Data Protection authority or the relevant authority in the European Union or United Kingdom.
Security and Data Minimisation
We use reasonable administrative, technical and organisational measures intended to protect personal data against unauthorised access, loss, alteration, misuse or disclosure. Access is limited according to business need, and we seek to collect only information relevant to the inquiry or service purpose.
No online transmission or storage method can be guaranteed to be completely secure. Please use the designated business inquiry fields and avoid sending unnecessary sensitive or confidential personal information.
Business Users and Children
This website and its inquiry services are intended for business users and are not directed to children. We do not knowingly seek personal data from anyone under 18 through the B2B inquiry workflow.
If you believe a child has submitted personal data through the website, contact info@tio2malaysia.com so that we can review the circumstances and take appropriate action.
If you provide information about another person, you should have appropriate authority to do so and should direct that person to this Privacy Policy where relevant.
Changes and Contact
We may update this Privacy Policy when our forms, service providers, technology or legal obligations change. The date at the top identifies the latest version. Material changes will be presented through an appropriate website notice where required.
